Hardware Acquisition Standards
(Updated Sept 1, 2023)
Department of Technology and Information Services - Hardware Acquisition Standards
Hardware standardization is necessary for high-quality support, compatibility, ecosystem integration and improved cost-effectiveness. The increased use of technological devices and peripherals has made it impossible to properly support an infinite variety of devices; printers, servers and other technology.
Some Benefits of Standardization include:
- Improving the district's ability to negotiate volume pricing and competitive evaluations.
- Decreased acquisition processing costs, improved forecasting and availability of devices from the supply chain.
- Decreased implementation, support, and training costs.
- Supporting fewer chipsets, architectures, and hardware systems improves the district's ability to share data and applications, and increases support for end-users.
- A strong implementation of standards results in lower total costs and support costs per user and device.
- Reduced cybersecurity risks, enhanced security
Campus and Department Refresh Recommendations
The Dept. of TIS recommends a four-year refresh cycle of devices to keep technology up to date. A device that has been in use for a period of at least four years should be replaced with newer technology. To keep up with changing technologies, it is recommended that each campus/department refreshes twenty-five percent of its oldest devices annually. Old hardware needs to be decommissioned. Technology assets that no longer support manufacturer's firmware, bios, operating or other system updates should be replaced immediately.
For purposes of asset management and inventory control, computers that reach the four-year milestone may be considered obsolete. Such equipment may no longer be considered a supported device, and repairs may not be economically feasible. The Dept. of TIS recognizes that though a product may be considered obsolete, there are situations where the device continues to be a viable instructional or administrative solution. All technology devices sent to salvage are reviewed by the Dept. of TIS to determine if the assets may have useful life remaining by repurposing to another campus/department or project.
